1. Eligibility & Access
1.1Connections from the Tor network are not permitted for registration or sign-in. To protect our systems from misuse, such connections are rejected.
1.2Account registration may be unavailable in certain territories. This restriction applies to registration only.
1.3Your account contact address must be an external email address. Email addresses on HalixonMail-hosted domains cannot be used as your account login or contact address.
1.4Automated account creation is prevented. Registration requires human verification, and registration and sign-in activity is logged for security purposes.
1.5We reserve the right to restrict registration or forwarding to or from specified external domains.
2. Account & Eligibility
2.1Accounts are for individual use. One account per person; you must not share, resell, or transfer your account.
2.2You must provide accurate registration information and keep your contact details current.
2.3You are responsible for keeping your credentials confidential and for all activity that takes place under your account. Two-factor authentication is available and recommended.
3. Acceptable Use
3.1Personal use only. The service is provided for personal, non-commercial use. Use for business, organisational, or commercial purposes is not permitted.
3.2Lawful use only. You must use the service only for lawful purposes. You must not use the service for any activity that is unlawful or that violates the rights of others.
3.3No spam. You must not use your account to send spam or other unsolicited bulk or commercial email. Any such activity may result in suspension or termination of your account.
3.4Prohibited content. You must not use the service to distribute malware, conduct phishing, or handle child sexual abuse material (zero tolerance).
3.5No mail loops. You must not configure forwards that create mail loops.
3.6You must not harvest or scrape email addresses.
3.7You must not impersonate others or misuse trademarks in email addresses.
4. Forwarding & Mail Handling
4.1Forwarding destinations must be valid external email addresses, are subject to a maximum length of 256 characters, cannot target a HalixonMail-hosted domain, and must differ from your current forwarding address.
4.2A new forwarding destination only takes effect after it has been verified via a link sent to that address. Mail continues flowing to your existing destination until verification is complete.
4.3Inbound and outbound mail may be filtered or rejected on spam or reputation grounds.
4.4We handle catch-all, alias, bounce, and non-delivery behaviour as part of normal mail processing.
5. Service Limits & Fair Use
5.1Use of the service is subject to limits on the number of emails you can send and receive within a given period, and to a fair use policy. We reserve the right to suspend forwarding of inbound mail if the inbound rate becomes excessive. These limits may be reviewed and adjusted from time to time.
5.2Outbound email sent through the HalixonMail SMTP server is also subject to rate limits. We reserve the right to throttle, delay, or reject outbound mail that exceeds these limits. These limits may be reviewed and adjusted from time to time.
5.3The service imposes a maximum size on emails. This limit may be reviewed and adjusted from time to time.
6. Payment & Subscription
6.1Fees, the billing cycle, auto-renewal, and renewal pricing apply as presented at the time of purchase.
6.2Our refund policy applies, including the UK/EU statutory 14-day consumer cancellation right and how your use of the service during that period affects it.
6.3Non-payment is handled through a grace period, followed by suspension and then deletion.
6.4We will give notice of any price change before it takes effect.
6.5You are responsible for any applicable taxes or VAT.
7. Service Availability & Limitations
7.1Email delivery is provided on a best-effort basis. We cannot guarantee that any message will be delivered, as delivery depends on factors outside our control — for example, a remote mail server may refuse or fail to accept a message. We are not liable for messages that cannot be delivered for such reasons.
7.2We do not provide an uptime guarantee and may carry out planned maintenance.
7.3We may modify, suspend, or discontinue features with notice.
7.4You are responsible for retaining your own copies of important messages where appropriate.
8. Termination & Data Retention
8.1Either party may terminate the agreement in accordance with these Terms.
8.2We may suspend your account immediately for cause, including spam, unlawful activity, or chargebacks. No refund applies where an account is terminated for cause.
8.3On termination or expiry, forwarding stops and your data is handled in accordance with our deletion grace period.
8.4While an account or address is out of subscription, it will not accept incoming mail. Email addresses are retained and may be reclaimed by renewing, as described in clause 11.
8.5Termination may affect mail that is in flight or queued at the time.
9. Service Withdrawal / Wind-Down
9.1We reserve the right to withdraw or discontinue the service. If we do so, we will give you reasonable prior notice and refund the unused portion of any prepaid subscription, calculated on a pro-rata basis from the date the service ends, to your original payment method.
9.2We will provide a reasonable window for you to set up forwarding elsewhere and retrieve what you need before shutdown.
9.3This is distinct from termination of an individual account for cause under clause 8, where no refund applies.
10. Liability & Legal
10.1Our liability is limited, with a cap on the total amount payable by us (typically the fees you have paid).
10.2The service is provided "as is" and we disclaim warranties to the extent permitted by law.
10.3You agree to indemnify us against claims arising from your misuse of the service.
10.4These Terms are governed by the applicable law and jurisdiction, as set out at finalisation.
10.5We will notify you of changes to these Terms. Your continued use of the service after a change takes effect constitutes acceptance of the updated Terms.
10.6If any provision is found unenforceable, the remaining provisions continue in effect. These Terms constitute the entire agreement between us, may be assigned by us, and neither party is liable for events beyond its reasonable control (force majeure).
10.7Nothing in these Terms limits your statutory rights as a consumer.
11. Intellectual Property & Email Addresses
11.1We own the service and the HalixonMail brand.
11.2You retain ownership of your content and grant us a limited licence to process and transmit it for the purpose of providing the service.
11.3Email addresses provided through the service are made available to you under your subscription on a licensed basis. You do not purchase or own any email address, and no ownership or other proprietary right in an address passes to you. All email addresses on HalixonMail-hosted domains remain our property. Your right to use an address continues only for as long as your subscription for that address remains active.
11.4After a subscription expires, we retain the address on your account for a period of two years, during which you may renew to restore full use of it. While an address is out of subscription it will not accept incoming mail, and mail sent to it will be refused. If the subscription is not renewed within the two-year period, the address will be unassigned from your account and may become available for another customer to subscribe to.
11.5An email address on a HalixonMail-hosted domain depends on our mail infrastructure to operate, so it cannot be transferred to, or continued with, another email provider. This is a fundamental characteristic of how email works rather than a restriction we impose: the address only functions while we host it. If you need an address that can move between providers, we recommend using your own domain name, which you can direct to the provider of your choice.
Our handling of your personal data is described separately in our Privacy Policy.
